Translation Office Apr 10, 2006

Hi, Rebecca,
I run an agency (just starting since this year) and I use Translation Office for orders management and invoicing. I decided to replace my old good paper Order Book with it and the results are fantastic. What management softwate do you use?

Translation Office 3000 Apr 10, 2006

I decided to give TO3000 a try after reading all the great reviews. After using it for a few days I decided to pay for the license. It's definitely one of the most efficient translation tools I've ever come upon and it's worth the price.

Reasons for the poll Apr 10, 2006

The reason I proposed this poll is precisely because I don't use any tool at the moment, but am considering buying one at some stage. I've also seen rave reviews for Translation Office 3000, but wanted some feedback for other applications too.

Thanks for the good poll!

After some years with one database with addresses, one system for invoices and another one for the quotes - which wasn't bad but time-wasting - we had a tailor-made program developed by a programmer.

It takes only seconds to register a new job from an end-client, send out the order to a freelancer, check the status and finally make the invoice. It has saved us lots of time and I keep asking myself why we didn't decide

I redesign my Access database for tax and invoices every year, and for timing tasks I am using a program I am developing since several months, which is quite useful already, but has still too many bugs.

Hello.

I was only vaguely aware of the existence of these programs, and certainly didn't know that there were some specifically for the translation business.

Are these designed mainly for outsourcers or are they useful for freelancers also? If so, in what way?

Can anyone explain what Translation Office does, and the approximate price? It's not a translation program (such as Trados or Wordfast) as far as I understand.
What functions does it have?

What I do is keep my invoicing in a list in Excel, a folder with the invoices, and a Lotus Organizer file with the clients (names, address, details). It would be more simple having it all in the same program, but being a freelancer with about a dozen regular clients, I find some of the man

What I do is keep my invoicing in a list in Excel, a folder with the invoices, and a Lotus Organizer file with the clients (names, address, details). It would be more simple having it all in the same program, but being a freelancer with about a dozen regular clients, I find some of the management programs are immensely too big for my needs, and make things more complicated rather than more simple.

Translation Office 3000 here, too Apr 10, 2006

I also like it a lot, especially because it makes the invoicing process so quick and easy. There're also nice and clear summaries about pending jobs, open invoices, etc. I would definitely recommend it - and you can try it for free.

TO3000 would do just that: keep your contacts, projects, invoices and payments all in one system. I like it because you can keep it as small as you want to - it works with even 1 client. You can track your quotes and projects, you can add CAT and multi-item projects, which I find very handy. You can enter different price profiles for your different clients and when a new project comes in, you simply specify the number of words and insert the price from the profile. You can access the project documents in TO3000 - as it creates a folder for each project using a system that I find logical and clear (although I hope they'll soon implement long folder names). Then you can keep track of which project is due when. After you're finished, you can make your invoice for the given project, or make cumulated invoices once a month or whenever. TO3000 will automatically add all uninvoiced projects, which you can remove, and you have all sorts of other options. You can make several invoice templates, in different languages for example, etc, which you do once in the beginning, and after that the system just "spits out" the ready invoices. And finally, you can track the payments, so you see if something's late. You can print and export various summaries, which can be handy for your financial administration.

That's how I use it mostly. I find that it's customizable enough for my needs and I've also found that support is very helpful and responsive.

I use Slovak bookkeeping software (Alfa) for freelancers and small companies. It is updated regularly, so it corresponds to all current changes in financial and tax laws and regulations. It includes database of partners, cash book, invoicing, receivables and liabilities, printing of tax returns, envelopes and much more.
